Welcome to AmazingDens Ltd! We look forward to helping create unforgettable memories on your special day. Please read the following terms and conditions carefully as they outline important information about your booking, use of our services, and legal responsibilities. 

By making a booking with AmazingDens Ltd, you agree to the following terms and conditions. These are designed to ensure a safe, enjoyable, and stress-free experience for both you and us.

1. Definitions 

– “You,” “Customer,” or “Client” refers to the individual or entity engaging with AmazingDens Ltd for services related to party and entertainment planning, including but not limited to booking, attending, or utilising our services. 

– “Us,” “We,” “Our,” or “AmazingDens” refers to AmazingDens Ltd, a company incorporated and operating under the laws of England and Wales, including its employees, agents, and representatives. 

2. General Terms – Company Details: AmazingDens Ltd is a party and entertainment service providing themed playdates, parties, and camping dens for children. All bookings are subject to the availability of equipment and staff. – Customer Age: We require that the individual making the booking be at least 18 years of age and assume full responsibility for the booking, including the supervision and actions of any minors involved.
– Booking Confirmation: Bookings are confirmed upon receipt of a completed booking request form and deposit payment. Full payment is required to be made no later than 7 calendar days before the event date. This means that if your event is scheduled for a Saturday, the payment would need to be completed by the previous Saturday.
– Deposit: A non-refundable deposit of £50 of the total booking fee is required at the time of booking to secure the date. This deposit will be deducted from the final balance. 

3. Cancellations & Refunds
– Cancellation by the Customer: If you need to cancel your booking, you must notify us at least 7 calendar days before the event to receive a refund of any monies paid less the non-refundable deposit. Any cancellations made less than 7 calendar days before the event will not be eligible for a refund.
– Cancellation by AmazingDens Ltd: AmazingDens Ltd reserves the right to cancel a booking due to unforeseen circumstances (e.g. extreme weather conditions or illness). In this case, a full refund or rescheduled date will be offered.
– Refund Policy: Refunds are only provided as outlined above, and AmazingDens Ltd will not be held liable for any other costs incurred by the customer (such as venue hire, travel or other related expenses) in the event of cancellation.

4. Safety and Liability
– Supervision: Our services are designed for children, but all equipment must be supervised by a responsible adult (aged 18 or over) at all times. Our staff will handle setup and removal, but they are not responsible for supervising children during the event.
– Customer Responsibility: Once the equipment is set up, the customer assumes full responsibility for the safety of any children using it. AmazingDens shall not be held liable for any injuries, accidents, or damages arising from misuse or failure to supervise children.
– Use of Equipment: You agree to use all equipment as instructed and as intended (e.g. tents, mattresses, decorations). Under no circumstances should the equipment be moved, altered, or adjusted by anyone other than AmazingDens employees, agents, and representatives.
– Health & Safety: Customers must notify us of any allergies, medical conditions, or special requirements that may affect the health and safety of anyone using our services. While we strive to accommodate special needs to the best of our ability, it is the customer’s responsibility to ensure that any specific health concerns are communicated and managed appropriately. We cannot guarantee specific accommodations but will make reasonable efforts to consider the information provided.

5. Damage to Property
– Damage to Equipment: The customer is responsible for any loss, theft or damage (beyond reasonable wear and tear) to property or equipment while in their possession. This includes any costs associated with repairing or replacing damaged items or covering the value of lost or stolen property. All damage must be reported to us in a timely manner.
– Cleaning Fee: A reasonable cleaning fee may be charged if equipment is returned excessively dirty or stained, especially for items such as mattresses and tents.
– Accidents and Damage to Venue: AmazingDens will take reasonable care during setup, however it is the responsibility of the customer to ensure that the venue is suitable for the use of our equipment. We cannot be held liable for incidental or accidental damage resulting from our setup or removal activities, but we will address and resolve any issues promptly and professionally.
– Decorations and Wall Attachments: AmazingDens does not attach decorations or equipment to walls, doors or ceilings using fixings that could damage property. If requested by the customer to do so, AmazingDens will not be liable for any damage caused.

6. Injuries and Accidents

– Injury Waiver: AmazingDens provides equipment that is designed for children’s use and is carefully inspected before every event. However, AmazingDens shall not be held liable for any injuries that occur during the event due to improper use of equipment or lack of supervision.
– Responsibility for Guests: The customer is responsible for ensuring that the equipment is used in a safe and appropriate manner by all children and guests. AmazingDens shall not be responsible for any injuries caused by the actions of other children or guests.
– Emergency Situations: In the event of an emergency, AmazingDens staff will assist in any way possible, but the customer remains responsible for notifying the proper authorities and managing the safety of the guests.

7. Setup, Collection, and Equipment Care
– Delivery and Setup: AmazingDens employees, agents, and representatives will handle the delivery, setup, dismantling and removal of all equipment. The customer must ensure the area is ready and free from obstructions. We shall not be responsible for any delays caused by the chosen venue not being ready for setup at the agreed time.
– Collection: All equipment will be collected by AmazingDens employees, agents, and representatives at the end of the agreed hire period. The customer must ensure that the equipment is available for collection at the agreed time.
– Area for Setup: The customer must ensure that the area provided for the setup is safe, dry, and free of any hazards. We reserve the right to refuse setup in any location that is deemed unsafe or unsuitable.
– Weather Conditions: AmazingDens offers equipment for both indoor and outdoor use, to be specified during the booking. However, we reserve the right to refuse outdoor setups in extreme weather conditions for the safety of the equipment and guests. 

8. Themes and Decorations
– Customisation: AmazingDens offers a range of themes and decorations for our packages. Whilst we aim to meet all requests, availability of certain items may vary, and substitutions may be necessary. AmazingDens reserves the right to make substitutions with items of similar value. 
– Use of Images: AmazingDens may wish to take photographs of setups for promotional purposes. We will request specific permission for this which you may grant or deny during the booking process.

9. COVID-19 and Hygiene Practices – Sanitisation: AmazingDens ensures that all equipment is thoroughly cleaned and sanitised between events. However, the customer is also responsible for ensuring proper hygiene practices are followed during the event.
– COVID-19 Policies: In light of COVID-19, AmazingDens will follow all government guidelines in place at the time of the event. We ask that the customer inform us if anyone attending the event has been in contact with someone who tested positive for COVID-19 or is exhibiting symptoms. AmazingDens reserves the right to cancel or reschedule events based on safety concerns related to COVID-19.

10. Governing Law These Terms and Conditions shall be governed by and construed in accordance with the laws of England and Wales. Any disputes arising out of or in connection with these Terms and Conditions shall be subject to the exclusive jurisdiction of the courts of England and Wales. 11. UK GDPR and Data Protection At AmazingDens, we take your privacy and the security of your personal data seriously. We comply with the UK General Data Protection Regulation (UK GDPR) and all other relevant data protection laws to ensure that your information is handled safely and securely. Below outlines how we collect, use, and protect your data.

1. Data Collection – When you make a booking or an enquiry, we collect personal information such as your name, contact details (email, phone number), event details, and any other information necessary to process your request.
– We may also collect data related to your preferences for the event, including themes and specific requirements.
2. Use of Data – Your personal information is used strictly for the purposes of: – Processing and managing your booking.
– Communicating with you about your event.
– Delivering the services requested, including theme selection and party preparations.
– Providing relevant updates or promotional offers that may interest you, if you have opted to receive them. 
– We do not share, sell, or distribute your personal data to any third parties unless required for the completion of your service (such as third-party suppliers directly related to your event) or as required by law.
3. Data Security – We have implemented appropriate technical and organisational measures to protect your data from unauthorised access, loss, misuse, or alteration.
– Any sensitive information (such as payment details) is handled securely through encrypted channels and in compliance with industry standards.
4. Data Retention – We retain personal data only for as long as necessary to fulfil the purpose for which it was collected. This includes retaining information for:
– Processing bookings and providing services.
– Fulfilling legal, accounting, or reporting requirements.
– Once your data is no longer required, we will ensure it is securely deleted.
